Dear Artist:


SorcererCon asks you to exhibit your work at the convention to be held at the St. Claire Hotel in Downtown San Jose on Thanksgiving weekend, 2010 (November 26 through November 28, 2010). Here are a few reasons why we believe our show to be worthy of your consideration: Fans with varied interests, discriminating tastes, and money will be attending. It’s also an opportunity to display and sell your art. The attendance of industry professionals in the field of Fantasy, Science Fiction, and Media including many well-known artists who may present the opportunity for career growth and good advice for artistic growth will also be in attendance.


Be sure to read all the rules carefully; please pay special attention to the policy on abandoned artwork. On the enclosed entry form is a statement which you must sign and date acknowledging that you have read the rules and agree to follow them to receive display space within the show to their best advantage, be sure to fill it out. SorcererCon has never been responsible for thefts and expects you to protect yourself by framing or matting your art, displaying your 3-D art in a display case of some sort, and by insuring your artwork. We provide security guards in the Art Show area and will always be diligent in our efforts to protect the art, but keep in mind that the convention is open to the public and within that public there is a criminal element. Once the art is displayed, it is not to leave the art show area permanently by the artist or agent. No in and out of art pieces!


Remember that the art show may fill up fast, so send in your entry form and payment in early. Control sheets and other forms will be mailed to upon your entry acceptance.

Read these RULES carefully!

Your signature on the entry form is your agreement to follow these rules and all applicable laws of California and the United States. If you do not follow the rules, we will remove you from the Art Show. If we do, we will not refund your entry fees. The exhibitor shall, at all times, protect, indemnify, save and keep harmless SorcererCon against and from any loss, cost, damage, liability, or expense which arises out of or by reason of any act or omission of exhibitor, his employees or agents.

  1. Each exhibition space, panel, or table rents for 15.00. The category to which an entrant belongs will not affect the rates charged for display space.

  2. Every artist who is exhibiting within the art show must sign, date, and return a copy of both the entry and control forms.

  3. Entries are limited to original works with themes of: animation, comics, science fiction, and fantasy or fandom. These may be in any medium that can display in our space.

  4. Reproductions of any kind are allowed, but only one copy of any image can be shown.

  5. If you show artwork featuring a character that belongs to someone else, you must credit the owner/creator. For example, a drawing of Superman or Wolverine must be labeled with the copyright symbol and “DC Comics” or “Marvel Comics” respectively, in addition to having your own signature. We will not show artwork that defames any real person or any fictional character. The judgment of the Art Show Director is final.

  6. The SorcererCon Art Show is open to viewers under 18 years of age and is subject to the laws of the City of San Jose. Artwork unsuitable for our audience will not be displayed in the general area. Again, the judgment of the Art Show Director is final. Please write or call the Art Show Director before the con if you have any questions.

  7. Two-dimensional works must have surfaces not easily damaged by hanging. This means that these pieces will be mounted and matted. If you feel your art is valued at more than $100 per piece, we strongly recommend that you frame each piece of your work or shrink-wrap it before hanging.

  8. Our panels are 4 x 4 pegboard. If you intend to hang a business card holder, keep in mind that it must not interfere with bid sheets; the Art Show Staff will not be responsible to supply business cards or flyers. Your artwork will hang from pegboard hooks with binder clips, which we provide. We will be careful as we can when hanging two-dimensional art; however, we will take no responsibility for pieces that are damaged in hanging. The Art Show will accept mail in 2-D art at this time, provided that proper shipping and mailing fees are included and packing material and a return box is provided.   9. Three-dimensional display table spaces (Sized 2’x6’) will be available for the exhibitor/artist unless an exception is granted by the Art Show Director. Jewelry displayed in the artist’s own case will be placed on a full display space. Oversized art will be displayed (standing) on the floor or an easel behind piping. Please indicate on your entry form any special needs, such as electrical power, piping, etc.

  10. Three-dimensional pieces submitted in the show require special attention. The Art Show will accept mail in 3-D art, provided that proper shipping and mailing fees are included and packing material and a return box is provided. It can be mailed to Dann Lopez, 2999 Fresno Street, Santa Clara, CA. 95051 Attending artists or their agents should set up their own 3-D art. Display cases for jewelry are highly recommended. Every sculpture for sale should be shown in a protective display case. SorcererCon Art Show staff will take no responsibility for pieces that are damaged while handling in the show.

  11. All artwork must be clearly labeled. Make certain that each piece has on its back or on its bottom the artist’s name and address, the artist’s number, piece number and minimum bid. Also include a statement about reproduction rights. If your entry is a print, it must have several additional statements. If it is an unlimited-run print, it must be labeled as such. For a print in a limited series there must be the number in the print run, the print medium and if the print is an art print (that is, a print made of any of the traditional art processes), the print used. If the plate has been destroyed, the date it was destroyed must be included in the statement. All of these items are required by California state law regarding art sales. Please see the most recent edition of art law reference books, or talk with an art law attorney if you have any further questions.

  12. We will accept reservations until two weeks before the Art Show starts, or when the Art Show sells out of space. Walk-in artists will be accepted on a first come and space available basis. WE WILL TAKE RESERVATIONS WITH PAYMENT BY CHECK OR CASH VIA MAIL. SorcererCon Art Show Director will not hold space for anyone who has not pre-registered and paid. Please make checks payable to SorcererCon.

  13. Artists may receive information packet with copies of a control sheet, bid sheets, checkout procedures, etc. upon arrival at the show, provided it is not sold out. Information rules and forms are available on this page.

  14. Once an art piece is entered into the show, you cannot change the conditions of the sale, such as minimum bid price or “Not For Sale” status. A piece is considered to be entered when the bid sheet is posted beside the work.

  15. Abandoned Art – Any artwork not claimed by the artist or the bidder at the close of SorcererCon on Sunday will be considered abandoned and will be disposed of at the discretion of the Art Show Director.

  16. SorcererCon does not provide insurance on artwork being displayed. You agree to be responsible for your own insurance. Some homeowners and/or renters insurance policies cover such items. Check with your insurance provider for details.

  17. The number of written bids required to send a piece to voice auction is five. If we receive fewer than five bids on a piece, it will be sold for the highest written bid. The voice auction will be held on Monday. The highest bidder, either by voice or by last written bid, will purchase the piece.

  18. Buyers must pay in full, including sales tax, and pick up their purchases before 12:00 Pm on Monday. Bidding officially closes at the close of the Art Show on Sunday. No art will be available for sale after the convention. Art which has been bid on and has not been picked up by the bidder or artist at the close of the SorcererCon Art Show, and no pickup arrangements made with the art show director, will be considered abandoned and immediately following the show will be handled in accordance with policy #16.

  19. You will be paid within four weeks after the convention closes for art that was sold. No payments will be made at the show. To assist artists in safeguarding their legal rights as creators of their works (as specified by California legislation), SorcererCon will provide each artist or exhibitor with a record of all purchasers’ names and addresses upon request.

  20. The Art Show will be available for artists’ set up Friday Morning the opening of the Artists Alley. Any person or agent representing an artist or artists for delivery, hanging, displaying, pickup or questions regarding the artist or the works need to be identified on the entry form as an agent. Written exemptions will be allowed at the convention on a limited basis.

  21. The Art Show exhibition hours for Friday through Sunday will be posted on site and announced in the SorcererCon Program book.

  22. Art Show silent bidding will close at the closing of the Artists Alley Saturday. Artists displaying art may withdraw their unsold art on Sunday between 10:00 a.m. and 3:00 p.m. Artists may pick up all their art not claimed before 3:00 p.m. Sunday.

  23. To protect artists’ copyrights, there will be NO PHOTOGRAPHY OR VIDEOTAPING in the art show without a release of responsibility of SorcererCon from the artist and with the prior approval of the Art Show Director. All cameras and videotape equipment will be checked at the main desk at the entrance to the art show.

  24. As a reminder, the Art Show is staffed and run by volunteers. In all matters, the decision of the Art Show Director is final. The exhibitor agrees to protect, keep and save SorcererCon forever harmless from any damage(s) or charge(s) imposed for violations of any law or ordinance by any exhibitor, his employees or agents, as well for failure to comply with the terms and conditions. Remember, the exhibitor shall at all times protect, indemnify, save and keep harmless SorcererCon against any and all loss, cost, damage, liability or expense which arise out of or by reason of any act or omission of exhibitor, his employees or agents.
